The request feels too small to write down
A client says, “Can you also send that to my other email?” or “Remind me next week after I check the schedule.” It sounds simple. Someone thinks, “I’ll remember it later.”
Then the day moves on.
Three calls, two estimates, and a few new messages later, that small request is gone. The client may still expect it to happen, but the team has no clear record.
That is the “I’ll remember it later” trap.
Why small requests disappear
Small requests disappear because they feel easy in the moment.
They often arrive:
- at the end of a call
- inside a longer email
- during a quick text exchange
- while someone is between tasks
- after the main issue already seems solved
Because the request is not dramatic, it does not get treated as a real task.
Capture the request immediately
Use a simple capture routine:
- Write the request in one sentence.
- Add the customer name.
- Add the needed date or timing.
- Assign the next owner.
- Put it where the team checks work.
Example:
“Client asked us to resend quote to second email by Thursday. Owner: Maya.”
That is enough to keep the request alive.
Do not rely on the full thread
The request may exist somewhere in the thread, but that does not mean it is visible.
If the team has to reread six messages to find one small request, the request is functionally hidden.
Pull it out into a task or note.
Watch for casual language
Client requests often sound casual:
- when you get a chance
- next week is fine
- no rush
- just send it over
- can you also
- before Friday if possible
Casual wording does not mean the request is unimportant. It only means the customer is not making it sound urgent.
Today’s capture checklist
Before leaving a client message, ask:
- Did the client ask for anything?
- Is there a date or timing?
- Who owns the next step?
- Is the request visible outside the long thread?
- Does the note say what action is needed?
This is especially useful at the end of the day when small requests are easy to leave behind.
Keep small promises from evaporating
The request that disappears is often not the loud one. It is the small one that sounded easy.
Write it down while it is fresh, give it an owner, and put it somewhere visible. Memory is not a workflow.
